MOQ Explained: How to Plan a Promo Order When You're Not Sure How Many to Buy

Minimum order quantity, or MOQ, is the smallest number of units a supplier will produce in a single decorated order. The MOQ exists because most of the cost of a decorated order is in the setup, not in the units themselves. Below the MOQ, the supplier loses money. This guide explains how MOQs are set, why they vary by product, what to do when your true demand is below the MOQ, and how to decide whether to order more units than you think you need.
Why MOQs exist
The economics are simple. A screen-printing setup costs the same whether you produce 25 units or 2,500 units. The cost of a $40 screen amortized over 25 shirts is $1.60 a shirt; over 2,500 shirts it is $0.016. Most suppliers set an MOQ at the point where the unit cost stays low enough to be worth quoting.
MOQs are highest on items where the setup dominates the cost — specialty molds, custom packaging, color-matched plastics. MOQs are lowest on items where the product itself is the bulk of the cost — premium drinkware, high-end notebooks, executive gifts.

When your demand is below the MOQ
Three real options:
- Choose a product with a lower MOQ. If your true demand is 35 hoodies but the MOQ for the embroidered version of the one you wanted is 48, the answer is often a different hoodie. Ask the supplier to suggest comparable products at your demand level.
- Switch decoration methods. Screen-printed apparel often has MOQs of 24–48. Custom-dyed apparel often has MOQs of 250+. The decoration method, not the product, may be what is blocking you. - Order to the MOQ and accept the inventory. If the per-unit cost is low and you have a use for the extras (recurring program, gifting, future event), ordering at the MOQ is often the right answer even when your “need” is lower.
When ordering more than you need is actually cheaper
Volume pricing tiers create a frequent situation where 500 units cost less in total than 350 units. This is not a misprint — it is the setup cost being spread over more units. A 500-unit order at $4.20 each ($2,100 total) can be cheaper than 350 units at $6.30 each ($2,205 total) because the per-unit price drops sharply between the 250-tier and the 500-tier.
If your demand is close to a tier boundary, check the next tier. The math often suggests rounding up.
